19 Tips for writing professional email

I would like to discuss about few tips to keep in mind while dealing with corporate emails, but I want to to make clear that I am not talking about writing a marketing email, but a professional corporate email and that too keeping newbies in mind.

Tips for Writing Professional Email

1) Select your font and size.
2) Always use same font while sending, forwarding, and replying.
3) Create a signature with name, designation and contact details.
4) While selecting fonts make sure it is not a fancy one, I use Verdana 10pt, Arial, Times, Verdana, Calibri are most used ones.
5) Never respond to any mails while you are agitated or angry, it may be so much provoking to reply to some mails which irritates you but just read that mail,
understand the issues, wait for at least half an hour and respond with real facts and figures.
6) Always make sure to send mails with subjects, even if it is a test mail.
7) Subject is so important that it grabs attention and helps you in tracking the mails later.
8) Use bullet points when ever required.
9) Try to avoid huge attachments.
10) Read your mails before sending, I mean read, read and re-read
11) Use spell check before sending.
12) Use ‘To’, ‘CC’ logically, always try to use reply all while replying, give special attention to email addresses in TO and CC
13) If you are marked in ‘CC’, mostly it may be a FYI (for your information).
14) If you are marked in ‘TO’, it may be an action item on you; act accordingly
15) Make sure you (or your team) respond to all emails marked to you in ‘TO’ address.
16) Retain subjects while replying back; otherwise you may need to start a separate thread.
17) Read all mails before responding; may be your team mate have responded to it before you had done it.
18) Avoid Bcc.
19) Avoid using stationary, it may look unprofessional.
